Privacy Policy

We collect information you and your organisation provide to run our services: names, business contact details (email, phone), site addresses, and the content of documents you upload — including architectural drawings, requests for quote, and related correspondence. We also record activity logs (who did what, and when) for security and audit purposes.

We use your information to provide the quoting, job-management and related features you request — including analysing uploaded drawings, generating quotes and documents, and coordinating production, quality-control and installation. We do not sell your personal information, and we do not use it for advertising.

We share information only with the service providers that operate the platform on our behalf. Each is bound by contract to protect your information and use it only to provide their service to us:

• Amazon Web Services — hosting, database, document storage, email delivery and some AI processing, in Australia (Sydney).
• Google Cloud (Vertex AI / Gemini) — reading and analysing uploaded drawings and documents. This processing happens outside Australia (see below).
• Clerk — staff sign-in. Holds staff names, email addresses and session details, hosted in the United States.
• Sentry — error monitoring. We remove email addresses and phone numbers from error reports before they are sent; hosted outside Australia.
• Microsoft 365 — only if your organisation connects its quote-request mailbox, in which case we read incoming emails and attachments from that mailbox.

Our database and document storage are in Australia (AWS ap-southeast-2, Sydney).

When you upload architectural drawings or other documents, we send the page images and their text to Google Vertex AI (Gemini) to read and analyse them. This is our main drawing-analysis service, not a rare fallback. That processing takes place outside Australia — in the United States, or, for some newer models, at a location Google chooses and does not tell us in advance. Drawings and documents can contain names, site addresses and contact details, so this is a disclosure of personal information overseas.

Google processes this data under the Google Cloud Data Processing Addendum, and under Google Cloud’s Service Specific Terms your data is not used to train Google’s AI models. We also use AWS Bedrock (Anthropic Claude) in Australia for some AI tasks. If your organisation needs drawings to stay in Australia, contact us and we can switch its drawing analysis to the Australian service.

Our sign-in provider (Clerk) and error-monitoring provider (Sentry) also hold limited information outside Australia, as described above.

Access is authenticated and scoped to your organisation. Data is encrypted in transit (TLS) and at rest, database access is restricted, and state-changing actions are recorded in an audit log. We keep information only as long as needed to provide the service and to meet our legal obligations.

Under APP 12 and APP 13 you may request access to the personal information we hold about you, and ask us to correct it if it is inaccurate. Contact us using the details below and we will respond within a reasonable period.

If you believe we have mishandled your personal information, please contact us first so we can address it. If you are not satisfied with our response, you may complain to the Office of the Australian Information Commissioner (OAIC) at oaic.gov.au.
